Case study: The Railway Touring Company

Meet Alfie Steamson: bringing a virtual stationmaster to life with AI

How LucidSynergy developed a bespoke AI-powered stationmaster to help customers explore rail journeys, discover suitable day trips and connect with The Railway Touring Company's booking team.

Client: The Railway Touring Company

Industry: Rail tourism and travel

Services: AI agent development, conversational interfaces and digital systems

The Challenge

Helping visitors navigate a growing programme of rail experiences

The Railway Touring Company has been organising railway journeys since 1997, offering steam-hauled day trips and rail holidays across the UK, Europe and worldwide.

Its UK Day Trips programme features journeys to destinations throughout Britain, with different departure stations, travel dates, locomotives, seating options and fares.

For prospective customers, choosing the right experience can involve exploring numerous trips and finding answers to quite specific questions.

Where can I board a particular train? Which journeys offer coastal scenery? What's included in Premier Dining? Is there a suitable trip for someone with limited mobility?

The company's experienced booking team can answer these questions, but providing an accessible way for visitors to explore their options independently would make the website more useful.

The challenge was to create an engaging, knowledgeable assistant that could guide customers through the available journeys while reflecting the character and heritage of the railway experience.

The Approach

Creating a character with a purpose

Rather than introducing a conventional website chatbot, LucidSynergy developed the concept of a virtual stationmaster.

Alfie Steamson was designed to be warm, knowledgeable and approachable, with a personality inspired by the traditional railway stationmaster.

But behind the character sits a carefully defined role.

Alfie specialises in The Railway Touring Company's UK Day Trips. He can discuss journeys, destinations, locomotives, departure stations and travel arrangements, helping visitors find information through natural conversation.

The original version of Alfie used an existing chatbot platform. As the project developed, LucidSynergy identified an opportunity to rebuild him as a more capable, bespoke AI application.

The new system retained Alfie's personality while introducing greater control over the visitor experience, the information he uses and the enquiries he generates.

The objective was to combine the familiarity of a helpful stationmaster with the practical capabilities of a modern digital assistant.

The Solution

A knowledgeable stationmaster backed by a dedicated digital system

LucidSynergy developed a conversational AI assistant supported by a structured database of rail journeys and a private administration interface.

The visitor experience

Visitors can speak directly to Alfie through the Railway Touring Company's website.

Rather than searching through lists or completing forms, they simply ask questions in their own words.

Alfie can help visitors:

Discover day trips based on destinations, scenery or departure stations.

Find information about specific journeys, dates and fares.

Learn about the locomotives operating particular services.

Understand dining options, accessibility arrangements and booking procedures.

Follow links to individual trip pages and available booking options.

His personality adds a little traditional railway charm to the conversation, while his answers remain focused on the company's actual programme.

The knowledge behind the conversation

Alfie draws on structured information covering the 2026 and 2027 UK Day Trips programmes.

This includes journey descriptions, routes, stations, locomotives, ticket prices and travel options.

He also has access to relevant company information, including booking terms, catering arrangements and accessibility guidance.

Rather than inventing missing details, Alfie is instructed to acknowledge uncertainty and refer visitors to the booking team when necessary.

The management system

Behind the conversational experience is a private dashboard that gives The Railway Touring Company's staff control over the trip information Alfie uses.

The team can add and update journeys, manage descriptions and fares, maintain booking links and indicate when trips are sold out.

A programme synchronisation feature also helps staff identify differences between Alfie's records and information published on the main website.

This makes it easier to maintain an accurate, useful assistant as the company's programme changes.

Connecting customers with the booking team

When visitors are interested in a particular journey, Alfie can provide a direct booking link or offer to pass their enquiry to the team.

With the visitor's agreement, relevant contact information and trip details are recorded, and the booking team receives an email notification.

This allows Alfie to support the customer journey without replacing the personal service provided by the company's staff.

Alfie is available directly from The Railway Touring Company's website.

Visitors can ask him about upcoming UK Day Trips, explore different journeys and discover more about the locomotives and experiences on offer.

The Benefits

Less administration, greater visibility and better control

The new system delivers several practical benefits for ServiceMaster Business Clean.

A simpler experience for new employees

A mobile-friendly, step-by-step process makes it easier to provide information, complete documentation and understand what's required.

A clear overview for the office team

The management dashboard provides immediate visibility of onboarding progress, helping staff identify incomplete records and address outstanding requirements.

Reliable document acknowledgements

The system maintains a permanent record of important acknowledgements, including the document version, confirmation wording and date of completion. When company documents are updated, previous acknowledgements remain associated with the versions employees originally reviewed.

Automated paperwork and notifications

Completed onboarding information is compiled into a branded PDF pack, with notifications sent to the relevant people.

This reduces the need to assemble records and distribute documentation manually.

A system that can evolve

Company documents, questionnaires and training materials can be updated through the dashboard, while additional functionality can be developed as business requirements change. Rather than being restricted by an off-the-shelf solution, ServiceMaster Business Clean now has a system designed around its own processes.

The Outcome

A working digital system that continues to develop

The new onboarding system is now in active use at ServiceMaster Business Clean.

Approximately 18 employees have entered the onboarding process since its introduction, with some already approved to work and others progressing through their requirements.

Feedback from the client and those using the system has been positive.

Since launch, LucidSynergy has continued to introduce refinements and additional functionality based on the business's needs.

The result is a practical digital system that supports an important everyday business process and provides a foundation for ongoing improvement.

The project demonstrates how understanding a business's operational requirements, combined with the right technology, can turn a time-consuming administrative process into a more manageable digital workflow.

Have a business process that could work better?

Many businesses rely on a mixture of paperwork, spreadsheets and disconnected applications to manage everyday operations.

LucidSynergy designs and develops digital systems that bring those processes together, helping businesses work more efficiently without unnecessary complexity.
